Surgery Scheduler - Almara OGI

The Surgery Scheduler is responsible for coordination of clerical, scheduling duties and phone calls. Also responsible for coordination of registering patients, as necessary.

This is a full-time role, Monday-Friday 8:30 AM to 5:00 PM based upon business need out of our Edina & Maple Grove offices.

Almara Women's Health | Obstetrics, Gynecology & Infertility is an operating division of Infinite Health Collaborative (i-Health), a group of local medical practices, owned and led by its physicians, on a mission to give patients more control over their healthcare.

Essential Functions:

  • Responsible for accurately scheduling surgeries/procedures, notifying patients of any time changes
  • Update insurance information as appropriate and ensure updates get on patient's chart
  • Work in conjunction with Physicians and Manager on block scheduling and utilization
  • Work with the Patient Services Representative's team on the flow of the schedule to maintain smooth work flow of the day
  • Assist in training new staff in scheduling as necessary
  • Communicate equipment availability to team on a weekly basis
  • Report occurrences through the center's established occurrence reporting process related to employee and/or patient/visitor events
  • Foster the developmental and educational process of self, colleagues, orientees and students (includes functioning as a preceptor)
  • Participate in acceptable continuing education, fostering career and skill development including meeting departmental continuing education requirements
  • Maintain strong, interpersonal relationships, professionalism and communication with all physician office schedulers and other coworkers
  • Contribute personally to the "team oriented" environment by demonstrating cooperative, constructive, problem-solving interaction with all Surgery Center employees
  • Participates in department/team meetings
  • Any and all other duties as assigned

Education and Experience Requirements:

  • High School diploma/GED or equivalent
  • Two years' experience in related field
  • Medical technology knowledge
  • Strong verbal and written communication skills
  • Excellent interpersonal skills and ability to interact effectively with all levels of the organization
  • Ability to multi-task and manage competing priorities, while achieving results in a fast-paced environment

Working Conditions:

  • Frequently lift up to 50 pounds independently and occasionally up to 100 pounds with assistance.

  • Must be able to frequently perform physical activities such as pushing, pulling, and reaching.
  • Visual acuity to read electronic and paper documents.
  • Auditory ability to participate in phone or video calls clearly.

  • Communicate and interact in a respectful and professional manner
  • Prioritize workload while being flexible to meet the expectations of the daily operations
  • Apply principles of logical thinking to define problems, establish facts, and draw valid conclusions
  • Understand and execute a variety of instructions
  • Effectively operate equipment and communicate on and operate the phone system
  • Work independently with minimal supervision
  • Travel to other work locations, if required
